Casual Administrative Assistant

 

The Municipality of St. Mary’s is seeking a person for the position of Casual Administrative Assistant.

 

The successful applicant will be responsible for general administrative duties, as per below. Rate of pay will be $13/hour.

POSITION DESCRIPTION - “Casual Administrative Assistant”

 

LOCATION:

Municipal Building, Sherbrooke

 

SCOPE:

Perform the overall duties required in the daily operations of the Municipality as Administrative, Secretarial, Cashier and Public Relations

 

LIST OF DUTIES:

·         public relations, telephone, etc.

·         receive revenue for taxes receivable, water rates and sewer rates along with all other revenue received by the municipality

·         prepare deposits for revenue as required

·         compile information for monthly newsletter and assist in the entire process as required

·         be involved with preparation and distribution of yearly tax bills

·         issue building permits in conjunction with the Building Inspector

·         issue tax certificates

·         file paid invoices as required

·         provide secretarial services to the Recreation office when and if required

·         type meeting minutes for municipal clerk and related correspondence as required

·         assist individual councillors with requested information, typing, copying as required

·         order office supplies as required

·         keep accurate records of water utility customers requests for shut-offs and transfers

·         perform such other duties as may be assigned by the municipal clerk

 

EDUCATION REQUIREMENTS:

·         High School Diploma or Equivalent

·         Completion of college/CEGEP/vocational or technical training

           

SPECIAL KNOWLEDGE AND SKILLS REQUIRED:

 

·         Knowledge of operations of a Municipal Unit

·         Computer experience required, specifically Microsoft Word and Excel

 

SUPERVISION EXERCISED:

Responsible for the overall administrative and secretarial aspects of the organization along with the responsibility of the day to day revenue received by the organization

 

REPORTING RELATIONSHIP:

Reports to the Municipal Clerk & Finance Officer

 

TENTATIVE WORK HOURS:

·         October 2010 – 35 hours/week

·         November 1, 2010 to January 31 2011 – Minimum of 14 hours/week

·         July 1, 2011 to October 31, 2011 – Minimum of 14 hours/week

·         Additional hours available as required
